Slide Deck for Warehousing and Distribution Companies

Warehousing and distribution companies compete on three dimensions: facility capabilities, operational performance, and technology. Your slide deck needs to prove all three — whether you're responding to a customer RFP for contract warehousing, presenting a WMS demonstration to a prospective client, or reviewing quarterly metrics with your existing customers.

This guide covers the essential presentation types for warehousing and distribution companies, with specific content guidance for each.

New Customer RFP Response

The RFP response is where most warehousing deals are won or lost. Customers evaluating contract warehouse providers see similar decks — the ones that win show specificity and operational confidence.

Facility Overview

Lead with the hard specs your customers care about. Total square footage (and how much is available for the prospect's program). Clear height — this is critical for high-density storage and affects how many pallet positions you can offer per square foot. Dock count and the dock-to-square-foot ratio (a common benchmark is one dock door per 10,000 square feet, though requirements vary by velocity).

Fire protection is increasingly a customer and insurer concern: specify your sprinkler system. ESFR (Early Suppression Fast Response) sprinklers are the standard for modern high-pile storage; K-17 heads meet requirements for many commodity storage applications. If you have non-ESFR suppression, explain what storage configurations are permitted under your fire code.

Describe your racking configurations: selective pallet rack (most common, offers flexibility), drive-in or drive-through rack (high density, LIFO), push-back rack (high density, LIFO, multiple SKUs), pallet flow rack (high density, FIFO — ideal for food and beverage or time-sensitive inventory), cantilever rack (for long, awkward items — lumber, pipe, furniture). Show the mix you currently operate.

Security

Cover CCTV coverage (interior, exterior, dock doors), controlled access (key fob, keypad, or biometric), alarm monitoring provider, and whether you have on-site security personnel. For higher-value customers, describe your chain-of-custody protocols.

Food Grade and Temperature Controlled

If applicable, call out your FDA registration, AIB (American Institute of Baking) certification score, or SQF (Safe Quality Food) certification level. For temperature-controlled space, specify cooler temperature range (typically 34–38°F), freezer temperature range, and pull-down capacity for new receipts. Include your temperature monitoring system and alarm notification protocol.

A WMS demo is the proof point that your technology matches your operational claims. Walk through the workflow end to end.

Receiving

Show how inbound is processed: ASN (advance ship notice) receipt and PO download from the customer's ERP or EDI, blind receiving where required, license plate label printing, directed putaway instructions to the forklift operator.

Putaway Strategy

Explain your slotting logic: how you assign locations based on velocity (A/B/C slotting), weight, cube, pick accessibility, and special handling requirements (hazmat segregation, temperature zones). Show how the WMS directs operators to locations and confirms putaway via scan.

Order Picking Methods

Describe your pick methods and when each is used. Wave picking (releasing orders in batches by ship time), zone picking (operators stay in their zone, orders are built across zones), batch picking (one operator picks multiple orders simultaneously using a consolidated pick list), or voice-directed picking. For e-commerce or parcel operations, describe your small-order pick process.

Replenishment and Shipping

Show replenishment trigger logic (min/max, demand-driven). Walk through the shipping workflow: order release, carrier selection and rate shopping if applicable, label generation, staging, and electronic proof of delivery.

Reporting and Inventory Visibility

Show the customer-facing portal and the standard reports: real-time inventory by location and lot, receipt history, shipment history, inventory aging, and exception reports. Most customers want EDI 846 inventory feeds or API inventory access — confirm your integration capabilities.

Quarterly Operations Review

The QOR (or QBR — Quarterly Business Review) is your ongoing accountability mechanism with contract warehouse customers. A rigorous QOR protects your relationship during tough performance periods and builds trust during strong ones.

Inventory Accuracy

Your cycle count program is the credibility foundation. Report inventory accuracy as a percentage — best-in-class is 99.5%+ with a continuous cycle count program. Show how many locations were counted in the quarter, discrepancy rate, and root cause of any significant variances.

Order Fill Rate

What percentage of lines shipped complete on the first attempt? Show monthly trend. Explain any shortfalls (customer forecasting, inbound delays, system issues).

On-Time Shipment Rate

What percentage of orders shipped on or before the customer-requested ship date? Show monthly trend. Separate carrier-caused misses from facility-caused misses — this distinction matters for dispute resolution.

Damage Rate

Report customer claim rate as % of shipments and $ value of claims. Investigate root cause on any claim over a threshold (typically $500–$1,000) and document findings.

Labor Productivity

Show units per hour by function: receiving (units per labor hour), putaway (pallets per labor hour), picking (lines or units per labor hour), shipping (pallets per labor hour). Trend this quarter over prior quarters to show improvement. If you're benchmarking against industry standards, include the benchmark.

Hazmat Storage Capabilities

Warehouses that store hazardous materials need a specialized capabilities deck for prospective customers. Cover: EPA RCRA compliance status, OSHA HazCom (GHS-aligned SDS management), fire code requirements for flammable and combustible storage (specifically quantity thresholds by fire code classification — FM Global standards differ from local fire marshal requirements), segregation requirements for incompatible materials, reporting requirements (Tier II chemical inventory reporting), and your emergency response plan.

If you have FM Global-approved storage or local fire marshal approval for flammable storage, lead with those credentials — they directly address the customer's insurance and compliance concerns.

Facility Expansion Presentation to Board

When you're proposing a new building or significant expansion, your board presentation needs to make the financial and strategic case clearly.

Cover: new building project overview (location, size, configuration, lease vs. own decision), capex analysis (total project cost, furniture/fixtures/equipment, WMS implementation, racking), operating cost model (labor, utilities, insurance, property tax or lease), revenue model (contract customers committed, pipeline customers, break-even occupancy), payback period on investment, and customer commitments that justify the expansion (LOIs or signed contracts).

Lease vs. build analysis deserves its own slide: own gives you asset value appreciation and long-term cost control; lease preserves capital and provides flexibility. Show the NPV comparison under both scenarios.

E-Commerce Fulfillment Deck for DTC Clients

Direct-to-consumer clients have different requirements than B2B customers. Your e-commerce capabilities deck should cover: SKU complexity management (how you handle thousands of SKUs efficiently), small parcel shipping integration (UPS/FedEx/USPS carrier accounts, rate shopping, label generation), returns processing (receipt, inspection, disposition workflow — restockable, refurbish, liquidate, destroy), and SLA commitments (same-day ship for orders received before cutoff, next-day ship for later orders). Include your cutoff time and how you handle volume spikes (peak season, promotional events).
