How to Create a Process Mining Findings Deck

Process mining produces data-rich insights about how processes actually execute in systems — not how they are documented, and not how people think they work. The challenge is that process mining outputs (process maps with frequency and throughput data, variant analyses, conformance checking results) are visually complex and require interpretation. A process mining findings presentation must translate that technical output into actionable insights that an operations or leadership audience can act on.

Explain What Was Analyzed and How

Open by establishing what was analyzed: which process, which system's event log was used (your ERP, CRM, ticketing system, or manufacturing execution system), what time period the data covers, and how many cases were included in the analysis. For an audience unfamiliar with process mining, a one-sentence explanation — "process mining uses the transaction records in our systems to reconstruct exactly how our process executes case by case, rather than relying on interviews or documentation" — is enough to establish credibility.

If the data required significant cleaning or filtering to be usable, note it briefly. Transparency about data quality limitations strengthens rather than undermines the findings.

Show the As-Executed Process Map

The most distinctive output of process mining is the process map reconstructed from actual system data, typically showing each activity as a node, with arcs weighted by frequency and color-coded by throughput time. Present the main flow alongside the most common variants.

For an executive audience, annotate the map rather than presenting it raw. Highlight the main path, the variants that account for most of the volume, and the steps or transitions where throughput time is highest. The goal is insight, not demonstration of analytical complexity.

Present the Variant Analysis

Most processes have far more execution paths than their documentation acknowledges. The variant analysis shows how many distinct paths were actually taken, what percentage of cases follow the intended "happy path," and what the throughput time and outcome difference is between the main variant and the most common deviations.

Focus the presentation on the variants with the highest business impact — the deviations that are frequent, that take significantly longer than the standard path, or that are associated with error or escalation. A process with 200 variants is not a reason for paralysis; it is a prioritization exercise.

Present Conformance Checking Results

If you have a reference model (a documented process, a regulatory requirement, or a control framework), process mining can check conformance against it — identifying which cases deviated from the required path and where. Present conformance results as: percentage of cases that followed the required process, the most common deviation types, and the business or compliance risk associated with each deviation category.

This section is particularly relevant for compliance-sensitive processes (order approvals, purchase authorizations, credit decisions) where deviations may represent control failures.

Identify the Root Causes

Process mining identifies where problems occur, but explaining why requires additional analysis. For each significant finding — a bottleneck, a high-variance step, a common rework loop — provide the root cause analysis: is the delay driven by resource availability, system wait times, approval queues, or rework from upstream errors? Root cause determines the improvement lever.

Present the Improvement Roadmap

Close with specific, prioritized improvement recommendations grounded in the analysis. For each recommendation, show the expected impact on cycle time, error rate, or conformance rate, the implementation approach, and the monitoring plan for measuring whether the improvement holds after implementation.
