Organizational Restructuring Presentation Template

Organizational restructuring presentations are among the most consequential decks an HR or leadership team produces. Employees are trying to understand how the change affects them, how decisions were made, and whether they can trust the organization's judgment. A clear, honest presentation reduces anxiety. A vague or defensive one amplifies it.

Two Distinct Presentations

Most restructurings require two separate decks: a leadership/planning deck used internally before announcement, and an all-company announcement deck used when communicating the change. These serve different purposes and should not be combined.

The planning deck is analytical: it makes the case for the restructuring, evaluates design options, and documents decisions. The announcement deck is communicative: it explains the change, addresses employee concerns, and establishes what happens next.

Leadership/Planning Deck Structure

Strategic rationale (2 slides): Why is the current structure no longer serving the business? What has changed in the market, strategy, or operating model that makes a different structure necessary? Be specific. "We need to be more agile" is not a rationale.

Design principles (1 slide): The criteria used to evaluate structural options. Common principles: minimize decision-making layers, align structure to customer segments, clarify ownership of key outcomes, reduce duplication.

Options considered (2–3 slides): Two or three structural alternatives evaluated against the design principles. For each: what it solves, what trade-offs it introduces, estimated transition complexity.

Recommended structure (2 slides): The proposed org chart with reporting lines. Rationale for this option over alternatives. Transition plan overview.

People implications (1–2 slides): Role eliminations, role changes, new roles created. Affected headcount. Retention considerations for key talent. Communication plan overview.

Timeline (1 slide): Decision milestones, announcement date, transition period, and stabilization target.

All-Company Announcement Deck Structure

Why we are making this change (1–2 slides): The business rationale in plain language. Be direct about what is driving the decision. Employees will assume the worst if leadership is vague.

What is changing (2 slides): The new structure. Who reports to whom. How work will be organized differently.

What is not changing (1 slide): This slide reduces fear. Confirm what remains stable — values, strategic direction, commitments to customers, core programs.

Impact on employees (1–2 slides): Who is affected and how. If roles are being eliminated, say so explicitly. Describe the support available — severance, outplacement, internal transfer process.

Timeline and next steps (1 slide): What happens when. When will employees know their status? When does the new structure take effect?

Where to get answers (1 slide): FAQ document, HR contact, manager conversations, and any additional sessions planned.

Tone and Delivery

Restructuring announcements should be delivered live, not via email with a deck attached. Leadership presence signals that the organization takes the change seriously. Reading slides verbatim signals they do not. Prepare leaders to be conversational and to handle questions — the Q&A after the presentation often matters more than the presentation itself.
