HR Technology Implementation Update Deck
HR technology implementations — a new HRIS, ATS, performance management platform, or LMS — are lengthy, expensive, and disruptive. Stakeholders need regular updates that give them an honest view of status, surface issues early, and maintain confidence in the project team. The implementation update deck is the primary tool for doing that.
Who Gets What
Most implementations need at least two update formats:
Executive sponsor update: Monthly or milestone-based. High-level status, major decisions needed, budget position, and risk summary. Keep to five to eight slides. Executives need enough information to exercise oversight and make decisions, not a project management deep-dive.
Project steering committee update: Bi-weekly or monthly. More detailed status by workstream, issue log review, upcoming milestones, and vendor relationship status. Ten to fifteen slides.
Implementation team working session: Weekly. Task-level status, blocker identification, and action items. This is typically a working document, not a polished deck.
Executive Sponsor Deck Structure
Project status overview (1 slide): A RAG status (Red/Amber/Green) for each major workstream — technology configuration, data migration, integrations, change management, and training. Include overall project status and the go-live date. Do not hide amber or red status — it destroys credibility when the project misses the go-live date after a string of green reports.
Milestone progress (1 slide): A timeline showing completed milestones, current position, and upcoming milestones to the next major checkpoint. Show slippage honestly if it has occurred.
Budget status (1 slide): Contracted budget versus actual spend to date versus forecast to completion. Flag any variances. If scope changes have affected budget, explain the driver and the decision made.
Top issues and risks (1–2 slides): The two to four most significant open issues, their potential impact, and the resolution plan. Issues that require executive decision or intervention should be clearly flagged as decision items.
Upcoming decisions needed (1 slide): Any decisions the executive sponsor or leadership team needs to make in the next two to four weeks. Be specific about what is being decided, the options, and the recommended path. Do not let decisions pile up until they become blockers.
Go-live readiness indicators (1 slide, near go-live): As the launch approaches, a readiness checklist gives stakeholders confidence: data migration complete, user acceptance testing results, training completion rates, support desk readiness, communication plan executed.
Common Mistakes in Implementation Updates
Consistently reporting green status until there is a crisis. Burying schedule slippage in footnotes. Failing to distinguish between vendor delays and internal delays. Presenting issues without resolution plans.
Change Management as a Required Workstream
Technology implementations fail when the tech is ready but people are not. Include change management status — communication milestones, training completion, adoption metrics from any pilot phases — as a first-class workstream in every update. Resistance to change is often the actual cause of failed implementations, and it should be visible in status reporting long before go-live.
