How to Create a Facilities Management Update Deck

Facilities management is a function that leadership tends to think about only when something goes wrong — a major system failure, a lease expiration approaching without a plan, or a capital project that is over budget. A well-structured facilities update deck changes that dynamic by making portfolio performance visible before problems escalate, and by connecting facilities decisions to the business objectives they support.

Open with the Portfolio Summary

Start with a high-level view of the portfolio: total square footage, number of locations, lease versus owned breakdown, annual facilities operating cost, and any significant changes since the last update. This establishes the scope of what is being managed and frames the detail that follows.

If the organization has been through growth, consolidation, or geographic expansion since the last review, note the portfolio changes and their impact on overall cost and operational complexity.

Present Space Utilization Data

Space utilization is one of the most strategically valuable metrics a facilities team can present, particularly in a post-pandemic environment where occupancy patterns have shifted significantly. Show utilization by location and by space type (office, collaboration, individual workspace, conference rooms, support space) against target utilization benchmarks.

Underutilized space is a cost that most organizations underestimate. If 30% of leased space is consistently below 40% occupancy, the lease cost per productive square foot is far higher than the lease rate per square foot suggests. Connecting utilization data to real estate cost creates a business case for portfolio rationalization.

Report on Maintenance Performance and Asset Health

A maintenance section should cover both reactive maintenance (work order volume, response time, and resolution time) and preventive maintenance (completion rate against schedule). Deferred maintenance accumulates into capital liability — equipment that should have been replaced or serviced is more expensive to fix when it fails.

Include a summary of the asset health of major building systems: HVAC, electrical, plumbing, elevators, and building envelope. For assets approaching end of useful life, flag them for capital planning purposes. Leadership cannot budget for facility capital needs they do not know are coming.

Update Capital Projects Status

For any active capital projects — renovations, expansions, new builds, major equipment replacements — provide a status update: budget versus actual spend, schedule versus plan, key milestones completed, and outstanding issues or risks. A one-page project status table with RAG (red/amber/green) status for each project is a clean way to give leadership visibility without requiring a detailed project review for each one.

If a project requires a steering committee decision — scope change, budget increase, schedule extension approval — escalate it clearly rather than burying it in the status table.

Present Lease Management Status

A lease expiration schedule showing the next three to five years of lease events — options to renew, lease expirations, and tenant rights deadlines — is essential for leadership planning. Real estate decisions take time: negotiating a lease renewal typically requires twelve to eighteen months of lead time for complex properties.

Flag any leases where the decision window is closing and the facilities team needs a business decision on whether to renew, relocate, or exit.

Close with the Budget and Capital Forecast

Summarize the facilities operating budget (actual versus plan) and the capital forecast for the upcoming budget cycle. If there are known capital requirements — deferred maintenance catch-up, lease improvement obligations, or major system replacements — quantify them and present them within the context of the overall capital planning process.
