Employee Health Benefits Presentation Template
Open enrollment is one of the most consequential financial decisions employees make each year — and most of them don't understand their options well enough to choose wisely. An effective benefits presentation closes that gap. It doesn't just describe what's available; it helps employees understand what each plan means for their specific situation.
This template works for open enrollment meetings, new hire orientation, and year-round benefits communication.
Design Principles Before You Start
Meet employees where they are, not where benefits professionals are. Terms like "deductible," "out-of-pocket maximum," "coinsurance," and "formulary" are not intuitive. Define every term when it first appears.
Lead with scenarios, not definitions. "If you go to urgent care twice this year and have one ER visit, here's what you'd pay under each plan" is more useful than a table of deductible amounts.
Acknowledge that healthcare costs are stressful. Employees choosing benefits are often anxious about costs and coverage. A tone that's calm, clear, and non-judgmental reduces that anxiety and increases engagement.
Template Structure
Slide 1 — Welcome and Agenda
Title the presentation with the plan year. List what will be covered. State the enrollment deadline prominently.
Example:
- Medical plan options (15 min)
- Dental and vision (5 min)
- FSA, HSA, and HRA (10 min)
- Supplemental coverage (5 min)
- How to enroll (5 min)
- Questions (15 min)
Slide 2 — Open Enrollment Overview
Key dates: when enrollment opens, when it closes, when changes take effect. Highlight that most changes can only be made during this window (except qualifying life events). List what qualifies as a qualifying life event.
Slide 3 — What Changed From Last Year
Employees tune out benefits presentations that repeat last year's content. Lead with what's new: plan changes, cost changes, new options added or removed, vendor changes.
If nothing changed materially, say so — and tell employees they can re-enroll in seconds using their current selections.
Slides 4–6 — Medical Plan Comparison
This is the core of the presentation. For each medical plan option:
Plan overview slide:
- Plan name and type (HDHP, PPO, HMO, EPO)
- Network (in-network provider access)
- Premium (employee cost per paycheck)
- Deductible (individual and family)
- Out-of-pocket maximum
- Coinsurance after deductible
- Copays for common services (PCP, specialist, urgent care, ER, mental health)
- Prescription drug coverage tiers
Comparison table slide: Side-by-side comparison of all medical plans on the key cost-sharing elements above. Color-code to highlight where plans differ most.
Scenario analysis slide: Show total annual cost (premium + expected out-of-pocket) for three scenarios:
- Low utilizer: healthy, occasional PCP visit, generic prescriptions
- Medium utilizer: one or two specialist visits, minor procedure, brand prescriptions
- High utilizer: ongoing condition management, surgery or hospitalization, specialty drugs
Most employees fall into the middle category. This analysis often reveals that the HDHP paired with an HSA is the better financial choice for employees who could be contributing to tax-advantaged savings.
Slide 7 — Understanding HSA, FSA, and HRA
Health Savings Account (HSA):
- Available only with a qualifying HDHP
- Triple tax advantage: contributions pre-tax, growth tax-free, withdrawals for qualified expenses tax-free
- 2025 contribution limits: $4,300 individual, $8,550 family (plus $1,000 catch-up if age 55+)
- Funds roll over year to year — it's a long-term savings vehicle, not use-it-or-lose-it
Flexible Spending Account (FSA):
- Available with traditional plans
- Pre-tax contributions, must be used by year-end (with limited grace period)
- Healthcare FSA 2025 limit: $3,300
- Dependent care FSA limit: $5,000 per household
Health Reimbursement Arrangement (HRA):
- Funded entirely by the employer
- Reimburses specific qualified expenses per plan design
- Does not belong to the employee — does not go with you if you leave
Slide 8 — Dental and Vision
Dental:
- Network (Delta Dental, Cigna, MetLife, etc.)
- Preventive coverage (typically 100% in-network)
- Basic services (typically 80%)
- Major services (typically 50%)
- Annual maximum benefit
- Orthodontia (if covered — lifetime maximum)
Vision:
- Annual exam coverage
- Allowance for frames/contacts
- Frequency (every 12 or 24 months)
Slide 9 — Supplemental Coverage Options
Life insurance: Base employer-provided coverage plus supplemental employee-purchased. Note the guaranteed issue amount (no medical underwriting required) available during open enrollment — employees who want more coverage should act now.
Short-term and long-term disability: Explain the waiting period and income replacement percentage. Many employees don't realize they have this until they need it.
Critical illness, accident, hospital indemnity: Explain how these work as gap coverage for high out-of-pocket costs.
Legal and identity theft protection: If offered, a brief mention is sufficient.
Slide 10 — Wellbeing Resources Included in Your Benefits
List the benefits employees often don't know they have:
- EAP (Employee Assistance Program) — free counseling sessions, financial counseling, legal consultation
- Telemedicine
- Gym membership discounts or on-site fitness center
- Mental health apps or platforms included with the health plan
- Disease management programs
- Diabetes prevention program
Slide 11 — How to Enroll
Step-by-step instructions with screenshots of your enrollment system. Include the enrollment deadline, tech support contact for enrollment platform issues, and HR benefits contact for questions.
Slide 12 — Resources and Contacts
Benefits portal URL, HR contact, carrier phone numbers, and summary plan documents location.
